Planning Center People Auto-Adding to your MultiTracks.com Account

A brief explanation and reasons for people being auto-added to a MultiTracks.com account

In some cases, you may find that the People on your MultiTracks.com People Page are not people that an admin has manually imported or added to the account.

First, it's important to note, that any person on a MultiTracks.com account with the Campus Admin or Organization Admin role, can add people to a MultiTracks.com account. It's first best to check and see if another MultiTracks.com admin has manually added people to your account, using the Planning Center Import feature, or adding them via email from the People Page. If that's not the case, you may be experiencing the auto-import behavior we'll outline below.

Before getting started, there are two separate areas with People syncing between Planning Center and Multitracks.com. There is People auto-importing to MultiTracks.com from Planning Center, and there is Multitracks.com people being auto-added to Multitracks.com Setlist pulled from Planning Center, and . It's important to understand how both of these things work.


People being Auto-Added/Auto-Importing from Planning Center

People will only ever be auto-added from Planning Center people to your MultiTracks.com people if they've opened a chart pro file in the Planning Center services app.

People being Auto-Added to MultiTracks.com Setlists

MultiTracks.com will only ever auto-add people to a MultiTracks.com setlist, if the user meets the following criteria:

  1. The user already exists as a person on the MultiTracks.com People page.

  2. The user has a linked Planning Center user (managed from the People Page).

  3. The linked Planning Center user is assigned (on any team) to the Planning Center Plan connected to the MultiTracks.com setlist.

Note: filtering by team isn't currently supported. Anyone linked and on the Planning Center plan will sync. For example, a camera operator who was once on your worship team, or who opened a chart pro file previously will still get auto-added to setlists if their profile is still linked.

The auto-adding of lots of people could be entirely expected if those people on your plans teams (kids ministry teams, Tech teams, welcome/host teams) are on the same plan, and have either:

  1. been added to your MultiTracks.com account previously from playing on the worship team or something,
    or

  2. were auto-added to your MultiTracks.com account because they opened a Chart Pro file in Planning Center. (Looked at the lyrics or song maps or any of those imported Chart Pro files for songs in Planning center).


If you're encountering any of the above, that is the current expected behavior and is not a bug/issue you're experiencing. The outcome there would be a side-effect of the People Import and auto-add features.


What if it's something else?

Contrary to the above, if you think you're seeing unexpected behavior not outlined above, you may be experiencing a people import issue that we'd want to look into.
You can also add safeguards and hide Chart Pro files from other teams that don't need to open them, so other teams don't open them and auto-create MultiTracks.com people. This can be configured in Planning Center's File Type Visibility settings.
